The Annual General Meeting 2020 is cancelled

Due to the situation with the Corona virus, Amnesty in Norways's board has decided that the Annual General Meeting (AGM) 2020, unfortunately, will be cancelled.

We hope it will be possible to postpone the meeting to the autumn of 2020. However, there are still too many factors of uncertainty to make a decision on that matter at this point. Consequently, a decision on whether the AGM will be postponed or not will be taken on a later occasion, and we will provide more information as soon as such a decision is made.

We live in a time when each and one of us needs to take care of one another, taking the necessary steps to stop the spread of this virus. We hope that every Amnesty member will join us in this effort.

The board has taken this decision in accordance with Amnesty International in Norway's statutes. §5 says that, under extraordinary circumstances, it is possible to postpone the AGM, given that members are consulted on the issue and that it is considered strictly necessary. The situation we are currently in is, with no doubt, extraordinary. Further, the Nomination Committee is consulted, and they have given the following recommendation: "We recommend that the period of the current board is prolonged and that the election of a new board is postponed to the autumn when it again will be possible to hold a somewhat ordinary election."

Additionally, it is necessary to respect the rules set by the county of Ullensaker, where the AGM was to be held, forbidding any administrative or social event with more than three participants.

We find it very sad that the AGM is cancelled. We have been looking forward to an important and eventful weekend with all of you. We ask for understanding for the decision made, and we hope you will join us whenever the new AGM is set. We will get through this together. Meanwhile, we should take care of one another, with aspirations of a swift end to this difficult situation.

We understand if you are left with some concerns or questions at this point, related both to yourself and the governance of Amnesty, as our most important and largest democratic and social meeting is cancelled. Do you want to help out as a volunteer in these difficult times? We recommend that everybody that has the opportunity to do so volunteer in the effort to stop the pandemic and to mitigate the consequences of it. You may do this by contacting your local county and find more information there.

FAQ

The Youth Gathering is also cancelled, unfortunately. The same rules applies to this gathering as for the AGM.

Yes. Everybody who is registered for the AGM and that has paid the participation fee will get this refunded. This will happen automatically, and you do not need to do anything. If you by 1. April still have not received the refund you ought to, please contact [email protected]

First, we ask you to contact your travel agency (airline services, train services, or other services you may have booked through) to check whether you have the right to a refund through their cancellation terms. If this proves not to be possible, we secondly ask you to contact your insurance company to check whether they may cover these losses.

If you still cannot get the costs covered, we will refund your complete costs of travel, including the deductable, corresponding to the maximum limit for travel costs to the AGM (see point 5). We kindly ask you to fill the form "Application travel refund" (at the bottom of this page). Additionally, please attach your correspondances with the travel company and the insurance company, showing that a refund proved impossible through them. Please send this to [email protected] by 15. May the latest. If your case with any of the companies remains unsolved by this deadline, contact the same email ("regnskap") and inform about this delay.

Amnesty does not cover accommodation in relation to the AGM and will not refund the costs related to the hotel or other solutions you may have found. Contact the respective hotel or insurance company for a refund.

Given the current uncertain situation, we cannot say at this point when it will be possible to hold the AGM. We hope it will be possible to hold a meeting during the autumn, given that the situation improves considerably.

The most important task of the AGM is to elect a new board. This year, half of the positions are up for election, including the chair and vice-chair. After consulting the Nomination Committee, the current board has decided that they will continue until it is possible to conduct an election, hopefully during the autumn of 2020.

The Nomination Committee says the following: "We recommend that the period of the current board is prolonged and that the election of a new board is postponed to the autumn when it again will be possible to hold a somewhat ordinary election."

If it proves impossible to hold the AGM in the autumn, we will come back with more information on a solution to this.

Any questions regarding candidates to the board may be directed to the Nomination Committee.

We hope to postpone the process along with the AGM to the autumn of 2020, if possible. If this proves not to be possible, we will provide more information about how this will be solved.

All proposals will be treated whenever the AGM is held, hopefully during the autumn of 2020.
